Who We Are

TreeTopFrog Ltd ("TreeTopFrog", "we", "us") is a digital consultancy based in Edinburgh, Scotland. We design and build structured visibility systems for service businesses. We are the data controller for the personal data described in this policy.

What Data We Collect

We collect only what we need to respond to you and run this website:

• Contact details you give us: your name, email address, phone number, business name and anything you write in a message when you use our contact form or email us.
• Technical data: your IP address, browser type, device type, pages visited and referring site, collected automatically by our hosting provider's server logs and, where you consent, by analytics tools.
• Cookie preference: whether you accepted or declined cookies, stored in your browser so we don't ask you again.

We do not collect special category data and we do not knowingly collect data from anyone under 16.

How We Use It

• To reply to your enquiry and discuss how we might work together (legal basis: taking steps at your request before entering a contract).
• To deliver services if you become a client (legal basis: performance of a contract).
• To keep the site secure and understand how it is used so we can improve it (legal basis: our legitimate interests, balanced against your rights).
• To send you occasional follow-up about our services where you have asked us to or where you are a client (legal basis: consent or legitimate interests, and you can opt out at any time).

We never sell your personal data.

Cookies and Similar Technologies

When you first visit, a banner asks whether you accept cookies. Your choice is saved in your browser's local storage so the banner doesn't reappear. The site itself sets no cookies until you accept. If you accept, we may use analytics cookies (for example Google Analytics) to measure how the site is used, and our chat widget (provided by the same lead-management platform as our contact form) loads so you can message us directly. Neither runs unless you accept. You can withdraw consent at any time by clearing your browser's site data for treetopfrog.com, which will bring the banner back.

Fonts on this site are loaded from Google Fonts. This means your browser requests font files from Google's servers, which may log your IP address. Google's privacy policy is at policies.google.com/privacy.

Who We Share It With

We use a small number of trusted providers to run the site and handle enquiries:

• Contact form and CRM: our contact form is provided by a third-party lead-management platform. Form submissions are stored there so we can reply and keep track of conversations.
• Web hosting: the site is hosted in the UK by 20i. Server logs are held by them.
• Analytics: Google Analytics, only if you accept cookies.
• Chat widget: the on-site chat is provided by the same lead-management platform. It loads only if you accept cookies, and anything you send through it is stored there so we can reply.

Each provider processes data only on our instructions and under a contract that protects it. Where a provider stores data outside the UK, transfers are covered by the UK International Data Transfer Agreement or an adequacy decision. We will also disclose data if the law requires us to.

How Long We Keep It

• Enquiries we don't take forward: deleted within 12 months of our last contact.
• Client records: kept for the length of the engagement and for 6 years afterwards to meet accounting and legal obligations.
• Server logs: retained by our host for a short rolling period, typically no more than 90 days.
• Analytics data: retained for the period set in our analytics account, currently no more than 14 months.

Your Rights

Under UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you.
• Ask us to correct anything that is inaccurate.
• Ask us to delete your data where we no longer need it.
• Object to, or ask us to restrict, our processing.
• Withdraw consent at any time where we rely on it.
• Receive your data in a portable format.

To exercise any of these, email hello@treetopfrog.com. We will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.

Security

The site is served over HTTPS. Access to enquiry and client data is limited to the people who need it to respond to you. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your data.

This site links to external websites, including client sites we have built and case-study material. We are not responsible for the privacy practices of other sites. Check their policies before sharing data with them.

Changes to This Policy

We will update this page when our practices change and revise the date at the top. Significant changes will be highlighted on this page.
